N-Y-N for the third one. ref: https://docs.microsoft.com/en-us/microsoft-365/compliance/retention-settings?view=o365-worldwide If you use a static policy scope and choose recipients to include or exclude, you can select distribution groups and email-enabled security groups as an efficient way to select multiple recipients instead of selecting them one-by-one. When you use this option, behind the scenes, these groups are automatically expanded at the time of configuration to select the mailboxes of the users in the group. If the membership of those groups later change, your existing retention policy isn't automatically updated, unlike adaptive policy scopes.

N,Y,N Retain or delete the content is set to: when it was created. If email is created a week ago it will be deleted not after 5 years, but (5years-7days). If email was created a year ago, then it will be deleted 4 years after policy creation.

1. No - If the file does not match the keywords than it is not retained. 2. Yes - Takeover matches the keyword and the user is in the matching group. 3. No - https://docs.microsoft.com/en-us/microsoft-365/compliance/create-retention-policies?view=o365-worldwide Its a N, Y, N for me.

I think YYN. Sharepoint location is not selected, but this is the Sharepoint library for the GROUP. "To retain or delete content for a Microsoft 365 group (formerly Office 365 group), use the Microsoft 365 Groups location. For retention policies, this location includes the group mailbox and SharePoint teams site. For retention labels, this location includes the SharePoint teams site only." https://docs.microsoft.com/en-us/microsoft-365/compliance/retention-settings?view=o365-worldwide#configuration-information-for-microsoft-365-groups

This would be true if LegalDL was a Microsoft 365 Group but it is a security group which means that it does not have a SharePoint library for the group and the statement is wrong.

I think it's No, No, No. The first one is No because content without the matching words are not retained. Sharepoint site is included if you select an M365 Group (https://docs.microsoft.com/en-us/microsoft-365/compliance/create-retention-policies?view=o365-worldwide#configuration-information-for-microsoft-365-groups). At the same time, in the same paragraph, you can read that the scope of the retention policy is the Group mailbox! And not the mailboxes of people belonging to the group!! For this reason the 2nd and 3rd are both no.

N: The file must match the keywords. Y: The email matches the keyword and is in the group so it is in scope. Y: The retention rule is based on modified date of the email. What was sent previously will also be applied because when the user becomes in scope (adding the user to the group), the email will be labelled accordingly. Unlike retention policies, retention settings from retention labels travel with the content if it’s moved to a different location within your Microsoft 365 tenant. https://docs.microsoft.com/en-us/microsoft-365/compliance/retention?view=o365-worldwide#retention-policies-and-retention-labels

https://community.spiceworks.com/topic/2150016-can-you-apply-a-retention-policy-to-users-within-a-group-on-o365 As the user RyanGeek explains it there: Only members of that distribution group the moment the policy is created will have the policy applied. It won't affect new members added later on.

I think e-mails sent before the user is included in the policy would be exempt. There's probably another process for this. E-mails sent after the user is included in the policy, however, should be included.

just to add to this... Distribution Groups are an on-prem thing and when used in AAD/M365 the expand and dump current users as if you just added the users directly. Any changes to the group is not reflected in AAD/M365.
