Suggested Answer:
Box 1: No -
User1 is the owner. Retention1 applies to File1. Retention1 has a 4 year retention period.
Note: How retention settings work with content in place
When content has retention settings assigned to it, that content remains in its original location. Most of the time, people continue to work with their documents or mail as if nothing's changed. But if they edit or delete content that's included in the retention policy, a copy of the content is automatically retained.

Box 2: Yes -
March 10 2025 is outside the retention period. The file can be deleted.

Box 3: No -
The file has already been deleted by the retention policy at that point in time.

I believe the answer should be Y Y N If the content is modified or deleted during the retention period, a copy of the original content as it existed when the retention settings were assigned is created in the Preservation Hold library. https://learn.microsoft.com/en-us/microsoft-365/compliance/retention-policies-sharepoint?view=o365-worldwide#how-retention-works-for-sharepoint-and-onedrive

Y: Even if a file is in or out of the retention period, it is still possible to delete it, but not permanently. Y: Even if a file is in or out of the retention period, it is still possible to delete it, but not permanently. N: No, since by that date the file will have been deleted and no editing will be possible.

The answer is YYN. Regarding the first question, retention policies/labels do not change the regular operation of office docs. So the file can be deleted. Actually, the only interruption by the retention feature is that users receive an error if they try to delete a document library or site subject to a retention policy.

I think YYN: Y: User1 can delete file1 and the file will be retained in preservation hold library Y: If file is still there user2 can delete as the label is retain only N: file2 is already deleted by the label (retain and delete after 2 years)

So user1 should be able to delete file1 and then the copy is retained in another location?
